Welcome to Organised Bookkeeping Pty Ltd T/A Hornsby Biz. By engaging our services or using our website, you agree to comply with and be bound by the following terms and conditions.

1. Professional Standards & Compliance

  • BAS Agent Services: We provide services in accordance with the Tax Agent Services Act 2009 (TASA).

  • TPB Code of Conduct: As a registered BAS Agent, we adhere to the Tax Practitioners Board’s Code of Professional Conduct, ensuring honesty, integrity, independence, and competence.

  • ATO Standards: All lodgments and record-keeping practices are performed to meet Australian Taxation Office (ATO) requirements.

2. Scope of Diagnostic Review

  • The Standard Diagnostic Review includes a high-level assessment of your current bookkeeping file to identify visible errors, structural issues, and compliance gaps. Specifically, the review covers: a check of bank and credit card reconciliation health; identification of duplicate, unposted, or misclassified transactions; an analysis of accounts receivable and payable integrity; and a general review of your chart of accounts structure for audit readiness. The final deliverable consists of a summary report outlining our findings and a recommended action plan for necessary remediation or rescue work.

  • Service Exclusions: The Standard Diagnostic Review is strictly an analytical and investigative service; it does not include any actual data entry, account clean-up, transaction reclassification, or account reconciliation. This review does not constitute a formal financial audit, forensic accounting investigation, tax return preparation, or a guarantee of absolute fraud detection. Any corrective actions, historical catch-up work, or comprehensive rescue bookkeeping required to bring your books into compliance are outside the scope of this review and will require a separate, subsequent engagement agreement.

3. Client Responsibilities

To ensure the accuracy of your financial records and timely lodgments, you agree to:

  • Provide all necessary documentation (receipts, invoices, bank statements) by the deadlines requested.

  • Ensure all information provided is complete, accurate, and truthful.

  • Full Disclosure: Notify us of any changes to your business structure, trading activities, or financial position that may affect your tax obligations.

4. Fees and Payment

  • Payment of the Review Fee is required in full prior to the commencement of any diagnostic work, account analysis, or access to your financial software. We will not begin the review until the invoice is paid and funds have cleared.

  • If, following the completion of the Standard Diagnostic Review, you formally engage our services for subsequent bookkeeping, account clean-up, or rescue bookkeeping work, the $199 Review Fee will be credited toward your new service agreement

  • Quotations: Fees are provided based on the scope of work discussed. Any significant changes to the volume of transactions or complexity may result in a fee adjustment.

  • Payment Terms: Invoices are payable within 7 days of the invoice date. 

  • Late Payments: We reserve the right to suspend services or withhold the lodgment of BAS/IAS forms if accounts remain unpaid.

5. Privacy and Data Collection

Your privacy is paramount. We manage your personal and financial data in strict accordance with the Privacy Act 1988 and the Australian Privacy Principles (APPs).

  • Data Usage: We collect data solely for the purpose of providing bookkeeping and BAS services.

  • Storage: We use secure, encrypted cloud-based platforms. While we take every precaution, we cannot guarantee the absolute security of data transmitted over the internet.

  • Third Parties: We will not disclose your information to third parties without your express consent, except where required by law (e.g., an ATO audit).

6. Limitation of Liability

  • We rely on the information you provide. Organised Bookkeeping Pty Ltd T/A Hornsby Biz is not liable for any fines, interest, or penalties imposed by the ATO resulting from omitted, inaccurate, or late information provided by the client.

7. Confidentiality

We maintain strict confidentiality regarding your business operations and financial affairs. This obligation continues even after our professional relationship has ended.

8. How Do We Collect Personal Information?

We primarily collect personal information directly from you through:

  • Forms and documents you provide to us.

  • Communications via phone, email, or in person.

  • Our website, including forms, cookies, and analytics tools.

  • We may also collect information from third parties, such as financial institutions, publicly available sources, or external service providers, when necessary and with your consent.

9. Quality Guarantee

Although mistakes are rare on our end, we are human and they can happen. Organised Bookkeeping T/A Hornsby Biz guarantees the quality of all BAS and bookkeeping services provided. If there is a mistake we will fix it fast and for free.

10. Termination of Service

Either party may terminate the engagement by providing 7 days' written notice. Upon termination, all outstanding fees must be settled before files or final reports are handed over.
