How to Save Time in Xero
A little know how goes a long way - 4 Game-Changing shortcuts every business owner will find useful.

As a dedicated bookkeepers, we have been inspired to kick off our new Hornsby Biz Productivity Series, where we share real, practical ways to shave hours off your weekly bookkeeping and admin.
Because so many of our clients rely on Xero for their daily bookkeeping, I decided to take a look at Xero’s built-in shortcuts - testing them inside my own accounting files. Now, I’ve been using Xero for nearly 8 years, so I assumed I knew the software inside and out.
Turns out, I was wrong! 🤯
Even after years on the platform, I discovered a few game-changing hacks that cut down my clicking time in half during invoice creation and monthly bank reconciliations. I already use the calculator and date one's (every single day) but my new favourite is the middle mouse click as opening multiple tabs totally comes with the job!
Here are four of my favorite time-saving Xero shortcuts that you can start using today:
1. The Slash (/) Global Search
Stop using your mouse to hunt through drop-down navigation menus! From anywhere inside Xero, simply press the forward slash key (/) on your keyboard, followed by a quick letter code to jump straight to where you need to be:
/ + i → Invoices
/ + b → Bills to Pay
/ + c → Contacts
/ + d → Dashboard
/ + r → Reports Center
💡 Pro Tip: Type / followed immediately by a contact name or invoice number to run a global search across your entire organisation.
2. Smart Date Entry Hacks
Type these short codes directly into any date field:
t → Fills in today’s date
tom or yes → Fills in tomorrow or yesterday
+14 → Adds 14 days to the current date
+2w or +1m → Adds 2 weeks or 1 month
next fri → Automatically sets the date to next Friday
3. Built-In Calculator Magic
Need to split an expense, multiply quantities, or calculate GST on the fly? You don’t need to reach for a physical calculator or open a separate browser tab.
You can perform basic math right inside any Amount or Quantity box in Xero:
Type 150*1.1 to add GST
Type 450/3 to divide a total evenly
Hit Tab or Enter, and Xero calculates the total for you automatically!
4. Middle-Click to Open New Tabs
This one was a brand-new discovery for me, and I absolutely love it!
When you’re working on bank reconciliations or reviewing transactions, middle-click (click down on your mouse scroll wheel) on any link or invoice. It instantly opens that item in a brand-new browser tab without taking you away from your current screen.
